Smooth tent rental for summer camps thanks to RFID Asset Management

This summer, youth camps can once again be organised without any safety measures against COVID-19; the tent rental by the Flemish Department of Culture, Youth and Media is therefore running at full speed. In order to gain a clear insight into the whereabouts of the tents and to check that they are complete, the CJM relies on Aucxis’ RFID Asset Management solution.

For the material equipment of the camps, our youth associations can make an appeal to the Rental Service Camping Material for the Youth of the Flemish government. This service offers +/- 2.300 senior tents (for 10 people) and +/- 3.250 patrol tents (8 people) with accessories such as tent and ground cloths, trusses and window plates. This year, no less than 13.500 tents will be rented.

With these impressive numbers, it is a challenge to keep the overview of the stock and flow of the tents at any time, and to monitor the completeness of the returned tents. The CJM chose for our standard rental solution to automate the registration of the delivery and return of the tents. 

For this purpose, all tents and inside canvases have been equipped with an UHF RFID label. The registrations are performed upon delivery and taking back of the tents through the POLARIS app on the RFID handhelds. All data is saved in a web portal in the cloud, where it is available for consultation. The user platform offers a clear graphical overview of the assets per location, their status, type etc.   

Thanks to the smart RFD solution, the employees of the rental service maintain the overview at any time and can confidently handle the thousands of requests from the youth associations correctly.
